Privacy Policy

We collect only the information needed to operate WhereSit and provide its features. This falls into the following categories:

• Account information. When you sign up, we collect your name, email address, and authentication details. If you sign in through a third-party provider (such as Google or Apple), we receive basic profile information from that provider.
• Voice recordings and transcripts. When you use voice input, we capture the audio you record and the text transcription generated from it so we can create your notes and reminders. You can delete your recordings and transcripts at any time.
• Your content. The notes, reminders, to-do items, lists, tags, attachments, and any text you create or edit within the app.
• AI-derived data. Categories, tags, priorities, and reminder times that our AI generates to organize and surface your content.
• Group and collaboration data. When you create or join a group, we collect the group name, its members, the invitations you send, permission settings (who can view, edit, or share), and the content shared within that group.
• Device and usage information. Device model, operating system, app version, language settings, and IP address, along with basic usage and diagnostic data, to keep the app working, sync across your devices, and improve reliability.
• Notification tokens. A push-notification identifier so we can deliver your reminders and group updates to your device.

We use the information we collect to:

• Transcribe your voice input and convert it into notes, reminders, and to-dos.
• Automatically categorize, tag, prioritize, and organize your content so it is easy to find later.
• Deliver timely reminders and notifications.
• Sync your content securely across all of your devices.
• Enable group sharing and real-time collaboration with the people you invite.
• Authenticate you, keep your account secure, and detect and prevent fraud, abuse, and unauthorized access.
• Provide customer support and respond to your requests.
• Maintain, troubleshoot, and improve the performance, features, and accuracy of the app.
• Comply with legal obligations and enforce our Terms of Use.

We do not sell your personal information, and we do not use your voice recordings, transcripts, or notes to serve third-party advertising.

Voice is central to WhereSit, so we want to be clear about how it is handled. When you record, your audio is securely transmitted and processed to produce a transcript, and that transcript is analyzed by our AI to categorize and organize the result. This processing may be performed using trusted service providers acting on our behalf and under contract, solely to deliver these features — never for their own purposes and never for advertising. You remain in control of your recordings and can delete them at any time from within the app.

We do not sell or rent your personal data. We share information only in the limited circumstances below:

• With people you choose. Content you place in a group is visible to the other members of that group, according to the permissions you set.
• With service providers. We work with trusted vendors who help us run WhereSit — such as cloud hosting, storage, speech-to-text and AI processing, analytics, and push-notification delivery. They may access data only as needed to perform services for us and are bound by confidentiality obligations.
• For legal reasons. We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of our users, the public, or WhereSit.
• In a business transfer. If WhereSit is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.

We use industry-standard safeguards to protect your information. Your data is encrypted in transit and at rest, access is restricted to authorized personnel, and we maintain technical and organizational measures designed to protect against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.

We keep your information for as long as your account is active or as needed to provide WhereSit to you. When you delete a recording, note, or your account, we remove the associated data from our active systems within a reasonable period. We may retain limited information where required for legal, security, fraud-prevention, or legitimate business purposes, and we may keep anonymized or aggregated data that no longer identifies you. Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. Within the app you can edit or delete your content and recordings at any time, manage group memberships and permissions, and control notification settings. WhereSit is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

WhereSit may be operated from, and your information processed in, countries other than the one in which you live. Those countries may have data-protection laws that differ from yours. Where required, we take appropriate steps to ensure your information receives an adequate level of protection wherever it is processed.

We may update this Privacy Policy from time to time. When we make material changes, we will revise the “Last Updated” date above and, where appropriate, notify you within the app. Your continued use of WhereSit after an update means you accept the revised policy.
